Practice software built for how psychotherapy is actually recorded

Long-term work, confidential notes, and a record that holds up if it is ever examined.

Designed for psychotherapists

DAP and BIRP

Set per practitioner. Both shells carry a risk level and a safeguarding-concern flag inside the note, rather than leaving you with a bare text box.

Kept out of the portal

Three visibility tiers. Internal and confidential notes never reach the client portal, which only ever loads notes marked client-visible, and DAP notes start as internal.

Versioned, locked notes

A signed note is locked and cannot be silently rewritten, and earlier drafts are kept as versions. That is what makes it worth anything if challenged.

Between-session contact on the record

A conversation log against the client record keeps calls, emails and other non-session contact in the right place rather than in your inbox.

EU data residency

Special category data, hosted and stored in the EEA, never sent to an AI provider.

Client portal by magic link

Clients sign in with a link sent to their email, with no password to forget, and see only what you have marked client-visible.

Psychotherapy runs on a different rhythm from most allied health: a contract measured in months or years, and a record whose sensitivity is higher than almost anything else in a practice system. Atlacare handles that with DAP and BIRP shells rather than SOAP, and a visibility model that keeps a note out of the client portal unless you mark it client-visible.

  • Psychotherapy is not statutorily regulated in the UK, and "psychotherapist" is not a protected title (professionalstandards.org.uk)
  • UKCP, BACP and the British Psychoanalytic Council (BPC) each hold a register accredited by the Professional Standards Authority (professionalstandards.org.uk)

Risk recorded where it belongs

Risk in psychotherapy is documented session by session. Atlacare keeps it inside the note, dated and locked, rather than in a separate file nobody checks.

  • Every DAP and BIRP note has a risk level (none, low, medium or high) and a safeguarding-concern flag.
  • Mark a note confidential and it stays out of the client portal for good.
  • Locked notes and an audit log give a dated account if a concern is ever reviewed.
  • An erasure request cannot remove a clinical record that is still inside its retention period.

Who sees which note

You choose the tier per note. The client portal only ever reads the first.

Visibility tierWhere it appears
Client-visibleThe client portal, and staff in your practice
InternalStaff in your practice only; never the portal
ConfidentialMarked for the treating practitioner and practice owner; never the portal

Built around UKCP, BACP and BPC expectations

Psychotherapy is regulated through accredited voluntary registers rather than statute. Each register expects confidential, secure and accurate records. Atlacare is built around those expectations rather than endorsed by any register.

  • Keep contemporaneous notes that lock on sign-off, with a version history.
  • Record consent on the client record.
  • Hold every record in EU-region infrastructure under UK and EU GDPR.
  • Write every significant action to an audit log.

Frequently asked questions

Who can see my notes?

You decide per note. Client-visible appears in the portal, internal is for staff only, and confidential is marked for you and the practice owner. Internal and confidential notes can never appear in the client portal.

Does Atlacare use AI on my session notes?

No. There is no AI feature in Atlacare and nothing is sent to any AI API. There is no AI provider on our sub-processor list.

Which note format does psychotherapy use?

DAP by default, set per practitioner. BIRP is available if your work is organised around intervention and response, and SOAP remains an option.

Is there a free plan?

Yes. One practitioner, 20 clients, no card, no time limit.
