Switch to Atlacare
Most practices switch in a day, not a month
A guided import of your patient list that already knows the shape of your old system's export, matches your practitioners, and records consent properly on the way in. Clinical notes and appointment history aren't imported, so keep your old export of those.
The reason practices stay on software they have outgrown is rarely the software. It is the fear of losing records in the move.
Atlacare's import wizard has source-specific presets for Cliniko, Jane, WriteUpp, Carepatron and Pabau, so the columns in your export are already mapped before you touch anything. Imports are processed in batches with live progress, practitioner names in your file are matched to your team, and historic patients are brought in with consent recorded as captured offline, which is the correct handling rather than a convenient one.
The six steps
Export from your current system
Download your patient list as a CSV. The wizard shows where the export usually lives for each system, and the guides below walk through it.
Choose your source and upload
Pick Cliniko, Jane, WriteUpp, Carepatron, Pabau or a generic CSV. The preset maps the columns for you.
Check the mapping
Change anything the preset got wrong. First and last name are the only fields you must map.
Match practitioners
If your file has a practitioner column and your practice has more than one practitioner, assign each name to someone on your team. In larger teams the names are matched for you to confirm.
Preview, with consent handled
See which rows are ready, which have warnings and which will be skipped, and choose how duplicates are handled. Every imported patient is recorded with offline consent.
Import
Batched with live progress, so a large list does not time out.
Importing is available to the account owner and managers. On the free plan you can hold up to 20 patients, so import a sample first or upgrade before bringing a larger list across.

Frequently asked questions
Will I lose my clinical notes?
The wizard imports patient details: names, contact details, date of birth, address, emergency contact, GP, referral source and a general notes column. It does not import clinical notes or appointment history, so keep your old system's export of those for your records. The per-system guides cover what each export contains.
Can I run both systems while I move?
Yes, and it is the sensible approach. Import into the free plan (up to 20 patients), check it against your current system, and switch over when you are satisfied.
What happens to consent records?
Historic patients are imported with consent marked as captured offline, which reflects the truth: consent was given, but not through Atlacare. New consent is then recorded properly going forward.
What if I want to leave later?
The account owner can export your patient list as CSV whenever you want, on any plan, and every export is audit-logged. A full record for any one patient, including appointments, notes and invoices, can be exported individually. There is no exit conversation and no retention process standing in the way. Your records are yours.
