Switch from Cliniko to Atlacare

1. Export your patients from Cliniko

In Cliniko, export your patient list to a CSV file. Cliniko lets you export patients from your account's data or reporting area — save the file somewhere you can find it.

2. Import into Atlacare

In Atlacare, go to Settings → Data and click Import patients. The wizard walks you through six steps: Source, Upload, Map fields, Practitioners, Preview and Done.

On the Source step, pick the Cliniko tile. The wizard uses a Cliniko preset, so it recognises Cliniko's column names and maps them to Atlacare fields automatically. You can check and change the mapping on the Map fields step before anything is saved.

On the Preview step, rows with problems or possible duplicates are flagged, and you choose what happens when a patient already exists in Atlacare: Skip duplicates (the default), Import as new or Update existing. Atlacare never creates duplicates without asking. The import then runs in batches with a progress indicator, so a long list won't time out.

This import brings across patient details. On a paid plan you can then import appointment history, treatment notes and attachments: see Import appointments and treatment notes from Cliniko. The Cliniko preset also keeps each patient's Cliniko ID, which is how those imports find the right patient.

3. Consent and practitioners

Every patient imported this way is recorded with offline consent, meaning consent was captured in your previous system rather than in Atlacare, so your UK GDPR consent trail stays intact. The import doesn't send any emails or texts to your patients.

To link patients to the right clinician, add your practitioners in Settings → Team first. Then, on the Map fields step, map the practitioner column from your Cliniko file to Treating practitioner. The Practitioners step matches those names to the practitioners in your Atlacare account, and you can fix any that don't match.
