Adding your team and what each role can see

Invite practitioners and reception staff, and understand the owner, manager, practitioner and receptionist roles.

Add colleagues from Settings → Team. Invite them by email; they set their own password and appear in your practitioner list and calendar. Your plan sets how many practitioners you can have — reception staff who don't treat patients don't count towards that limit.

The four roles

Owner — full access, including billing, exports, and confidential notes. There's one owner (you, to start). Only the owner and the treating practitioner can open a confidential note.

Manager — day-to-day running of the practice: patients, scheduling, invoicing, imports and reports. A manager can't see another practitioner's confidential notes.

Practitioner — their own diary, their patients, and clinical notes. This is the role for anyone who treats patients.

Receptionist — scheduling, patient details and invoicing, without clinical notes. The role for front-desk staff who book and bill but don't document care.

Hiding sensitive detail

Two things protect sensitive information regardless of role:

  • Confidential notes are visible only to the treating practitioner and the owner.
  • Financial detail and exports are gated to the owner and manager.

So a receptionist can run the diary without seeing clinical notes, and a locum practitioner sees their own confidential notes but not a colleague's.

Making someone inactive

When a team member leaves, make them inactive from Settings → Team rather than deleting them — that keeps their name on the notes and appointments they created, which you need for your records, while removing their access.


Roles are checked on every screen and action, not just hidden in the menu, so access is enforced, not cosmetic.
