Getting started with Atlacare

Find your way around Atlacare, set up your clinic, add your first patient, and see a booking come in — the things to do on day one.

4 min read

Atlacare brings your scheduling, patient records, clinical notes, invoicing and online booking into one place. Here's a quick tour of the screen, then the quickest path from a new account to a working clinic.

Find your way around

The sidebar on the left is how you move around. It's grouped like this:

  • Home — your day at a glance.
  • Appointments — the Calendar and All Appointments (a list view).
  • Patients — All Patients and Add Patient. The patients you opened most recently are listed underneath, so you can jump back to them.
  • Clinical Notes and Recalls.
  • Engage — Inbox, Campaigns and Atla Flow (automated workflows).
  • Business — Invoices, Reports and Clinic Health.
  • Practice — Team and Forms.
  • Settings sits at the bottom of the sidebar, just above your name.

What you see depends on your role. For example, receptionists don't see Clinical Notes, Reports or Clinic Health.

The top bar has:

  • Search — find a patient by name, email or phone. Press Ctrl K (or ⌘ K on a Mac) to jump to it.
  • + New — the quick-create button: New appointment, New patient, New invoice, New note or New message. Press c and then a letter (for example c then a for a new appointment) to skip the menu.
  • Help (the question mark) — opens this help centre in a new tab.
  • Notifications (the bell) and your account menu, where you'll find Billing and Sign out.

On a phone, the sidebar is hidden behind the menu button in the top-left corner, and a tab bar along the bottom takes you to Home, Appointments, Patients and Inbox.

Home shows today's and this week's appointment counts, your day schedule, a month calendar and any Suggested actions. The buttons at the top — Book appointment, Add patient, New invoice and New note — cover the things you do most.

1. Finish the setup checklist

Open Settings. The top of the page shows your setup progress and the next step to do; click Open checklist to see every step (it lives at Settings → Setup checklist). It covers your practice name, your profession and note format, your location, practitioner availability, services, importing patients and online booking. You don't have to do everything at once. The checklist shows what's done and what's left.

2. Add your services and availability

Under Settings → Services, add what you offer, how long each appointment takes and the price. Under Settings → Team, set each practitioner's availability. That's what your calendar and your online booking page use to offer times. Your clinic's opening hours, bank holidays and closure days go in Settings → Hours & closures.

3. Add a patient (or import your list)

Go to Patients and click Add patient for one patient. To bring your whole list across from Cliniko, Jane, WriteUpp, Carepatron, Pabau or any CSV file, click Import CSV on the same page (or go to Settings → Data → Import patients). The import maps the columns for you and never creates duplicates silently. Importing is for owners and managers.

4. Book an appointment and write a note

On the Calendar, click an empty slot (or click Book appointment) and the booking panel opens at the side. Open the appointment to write your clinical note. Atlacare uses the note format your profession expects (SOAP, DAP or BIRP). When you're done, click Sign & lock. A signed note is locked and any later change is kept as a new version, so your notes stand up if you're ever asked for them. Click Mark attended once the session has happened, and Atlacare suggests what to do next, such as sending the invoice or booking a follow-up.

5. Turn on online booking

In Settings → Services, switch on Bookable online for each service patients can book themselves. Those services then appear on your booking page, where patients pick a time and get a confirmation email without you touching anything. On paid plans you can also send an intake form automatically when someone books (Settings → Patient forms). To give your clinic a public profile page with a link to book, go to Settings → Public page, switch on Enable public page, and use Copy link to share it or add it to your website.

6. On a paid plan: verification

When you move to a paid plan, the Atlacare team does a quick welcome check that your clinic is a real practice, usually within one working day. Confirmations and reminders work from day one. Campaigns and your own automated messages start once you're verified. To help it along, add your full practice address in Settings → Locations and your registration number (HCPC, GOsC, GCC or similar) in Settings → Team → Edit profile. See why is my clinic being verified?
