The calendar is under Appointments → Calendar in the sidebar. Everything here works on every plan.
Choose a view
Use the buttons at the top right of the calendar:
- Day: one day, hour by hour.
- Week: seven days side by side.
- Month: the whole month, with a few appointments shown on each day and "+N more" when it's busy. Click a day to open it in Day view.
- Team: one column per practitioner for the same day, so reception can see the whole clinic at a glance.
The arrows move back and forward a day, week or month, and Today brings you back to today.
Colour by practitioner or location
Appointments are coloured by practitioner (see colour-coding the calendar). If you have more than one location, a Colour by switch appears so you can colour by Location instead. Your choice is remembered on that device.
Drag an appointment to a new time
On a computer, in Day, Week or Team view:
- Press and hold an appointment and drag it to the new time. It snaps to 15-minute steps. In Week view you can drag it to another day; in Team view, to another practitioner.
- Let go. A small card asks, for example, "Move Sam Patel to Thu 9 Oct 10:30?"
- Leave Notify patient ticked to email (and text, if texts are on) the patient about the new time, or untick it.
- Click Move, or Cancel (or press Escape).
If the new time clashes with another appointment or a closure, the card says so. Owners and managers can choose Move anyway, and practitioners can in their own diary. Otherwise pick another time.
On a phone or tablet, tap the appointment and use Reschedule instead. See booking, rescheduling and cancelling.
Check patients in
On the day of the appointment, its actions follow the patient through the visit. You'll find them on the appointment in the calendar, on Home, and on the appointment page.
- Mark arrived when the patient checks in at reception.
- Start session when the clinician starts. This opens the appointment's note. Only clinicians can start a session.
- Mark attended at the end, or No-show if they didn't come.
Arrived and Start session can only be used on the day itself.
Undo a mistake
- Undo arrived puts an appointment marked arrived by mistake back as it was.
- Undo start puts a session started by mistake back to arrived.
- Undo no-show: straight after you mark a no-show, a "Marked as no-show" message with Undo stays on screen for about 10 seconds. After that, use Undo no-show on the appointment.
