When a patient is covered by a private insurer, the cover is usually for a set number of sessions under an authorisation code. Atlacare tracks that so you don't accidentally treat beyond what's approved — and get left unpaid.
Record an authorisation
On the patient's profile, add an insurance authorisation with:
- Provider (Bupa, AXA, Aviva, WPA, etc.) and the authorisation number.
- Sessions authorised — how many the insurer has approved.
- Any excess the patient pays, and the valid dates.
Track sessions used vs approved
As the patient attends, sessions used counts up against sessions authorised, so you can see at a glance how many are left. That's your prompt to seek a top-up authorisation before the patient runs out — the difference between getting paid and writing off a session.
Why it matters
Over-treating an authorisation is one of the most common ways private clinics lose money: the sessions happen, but the insurer only pays for what it approved. Tracking it turns "I think we're near the limit" into a number you can act on.
